Setting up COTI automations

Selecting the CMS type

  1. Sign in to your Elanion account.
  2. On the Automations page, click + and select the respective tile.

Entering a name for the automation

Under Automation name, enter a name for the automation.

Project settings area

  1. Specify a project name pattern under Project name. The project name will be generated in Across on the basis of the variables of this pattern.
    1. Click a variable in order to add it to the pattern.
    2. Separate the values, e.g. with spaces, underscores, hyphens, or arrows:

      {ProjectName}_{CreationDate}-{CreationTime}_{{SourceLanguage} > {TargetLanguages}

      The preview under the button helps you to select the correct characters.

  2. Under Notifications, determine whether the parties involved in a project (i.e. the Across project manager and, depending on the automation, the project owner in the CMS) are to receive notifications. Additionally, you can enter email addresses manually, e.g. if the recipients are not directly involved in the work with the systems, but nevertheless want to receive automatic notifications about the project status.
    1. First, activate the slider and confirm that all participants have consented to the receipt of such messages.
    2. Click + to add further email addresses.
    3. Determine the cases in which the participants are to be notified, e.g. in the event of status changes or errors.
    4. Click SAVE.

Source settings area

  1. Under Connection, select the option Add connection and set up the OneDrive connection as follows:
    1. Enter a name and click CONNECT.
    2. In the pop-up dialog, enter the email and the password of the OneDrive account you would like to connect to Elanion.
    3. After the successful entry, the user name and email address will appear in the Elanion dialog. Click ADD.

    Select the (root) connection folder containing the COTI level 2 folder structure and click SELECT.

  2. If necessary, configure a user-defined language mapping.

    If you want to use a different (sub)language in the TMS than in the CMS, you need user-defined language mappings. For example, your source texts in the CMS may have been created in the language en-US, but you would like to process them in the language en-GB in your TMS.

    1. Proceed as follows:
    2. Click the + icon.
    3. Select the language to be used in the TMS and click OK.
    4. Enter the desired language code on the right-hand side.

      To enter several language codes, use commas as separators.

    5. Tip

      Please enter the language codes in the multi lang RFC format as shown here: Across LCIDs

      The input is not case-sensitive.

    6. Click SAVE.
  3. SCHEMA ST4 only: Determine whether the support files contained in the COTI package by default are to be transmitted to Across and enclosed as project attachment.

Translation settings area

  1. Select the required TMS instance.
  2. Select one or more Project managers, a Project settings template, a Reporting template and a Workflow. These parameters will be used for the automatic Across project creation via Elanion.

    Moreover, determine how the project is to be handled once it has been delivered.

    Click SAVE.

  3. The document settings templates that will be used when checking in the files to Across is shown under Document settings. By default, this would be the Default template that exists for all supported file formats. If you wish to use another document settings template, you need to map the source file format to the respective template.
    1. Proceed as follows:
    2. Click the + icon.
    3. Enter the file extension of the source file (e.g. xml).
    4. Select a document settings template on the right-hand side.
    5. Click SAVE.
  4. Under Project attribute overrides, you can map COTI attributes to the corresponding Across attributes. Enter the Across attributes on the left-hand side and the XPath expression that addresses the attribute in the COTI file on the right-hand side. Further information is available here.

Setting up and configuring automations

  1. Once all required details have been entered, you can set up and configure the automation. Proceed as follows:
  2. Click CREATE at the bottom left in order to create the automation.
  3. Click SETUP to finish the setup.
  4. Read the information concerning the further procedure.
  5. Click CLOSE to hide the information. Use the ela_button_zurueck button to go back to the automations overview.
Tip

To edit an automation, click the respective tile and carry out the desired changes.

To delete an automation, click the respective tile, then click DELETE at the bottom right.
