Additionally, the crossTerm section of the user group rights comprises the subsections Instances, Filters/filter sets, Entry templates, Layouts, crossTerm Web Workflows, Workflows, and crossTerm Now.

Instances

In the Instances section, you can define the access and editing rights for the crossTerm instances. By default, the section contains the subsection Rights for new instances and another subsection for every created crossTerm instance.

The Rights for new instances subsection defines the rights that are automatically available for the new created instance. Of course, these predefined rights can later be modified in the subsection of the corresponding, new created instance.

Allows the users of this group to view standalone entries. Standalone entries are special terminology entries that do not contain any terms, but only indexes with their index values.

By clicking Apply to all groups, you can apply the settings to all other Across user groups.

Tip

This function does not affect the Guest group. The rights of this group will remain unchanged.

Some of the rights can be customized by means of the icn_mehr_drei-punkte icon. Additionally, you can limit the rights to certain languages.

Restricting languages

By restricting a right to certain languages, e.g. the right to create terms, you can ensure that the members of the respective group can only create terms in the defined language combination. For example, if the members of a group are granted the right to create terms in the language combination German/English, the members of this group can only create terms in the language directions German/English and English/German, but not in other combinations such as German/French.

To limit a right to certain languages, click the corresponding icn_mehr_drei-punkte icon, select Restricted, and enable the checkbox Selected languages. Add the languages (and the sublanguages, if necessary) for which the members of the respective group are, for example, to be permitted to add new terms. Using a subordinate option, you can also limit the languages to those assigned to the members of the group in the respective user settings.

You can use both options for restricting individual languages or you can combine them.

If a user is a member of several user groups, the restrictions of the corresponding groups will add up.

  • Example user groups:
  • Group 1: Restriction to the languages of the user settings (the right applies only to languages assigned to the user in the user settings)
  • Group 2: Restriction to German (the right applies to German only, not to the other languages)
  • Group 3: Restriction to English and restriction to the languages of the user settings
  • Group 4: No restriction to particular languages (the right applies to all languages without any restrictions)

If a user is a member of various user groups, the combination of the different groups will result in the following restrictions:

  • Group 1 + group 2: Restriction to the languages of the user settings and German
  • Group 1 + group 3: Restriction to the languages of the user settings and English
  • Group 2 + group 3: Restriction to the languages of the user settings and German and English
  • Group 1, 2, and/or 3 + group 4: No restriction to particular languages

Filters/filter sets

The Filters/filter sets section lists all user-defined filters and filter sets defined as public. User-defined filters are displayed with an icn_filter_benutzer icon, and filter sets with an icn_cTeM_filterset icon.

By activating the checkboxes, the filters and filter sets can be assigned to the respective user group, making them available for future searches in crossTerm. By default, newly created filters and filter sets are available for all user groups.

Entry templates

In the Entry templates section, you can assign the rights for using the entry templates created in the crossTerm settings to the respective user groups. By enabling the respective checkboxes, corresponding entry templates are available to the members of this group. By default, a newly created entry template is available for all user groups.

Layouts

In the Layouts section, all user-defined layouts defined as public are listed sorted by crossTerm instance.

By activating the checkboxes, the layouts can be assigned to the respective user group, making them available in crossTerm. By default, newly created crossTerm layouts is not available for any user groups. In contrast, the crossTerm standard layout is available for all user groups by default.

At least one of the available crossTerm layouts must be activated. Deactivating all layouts is not possible.

If the standard layout is deactivated, the next layout in the list of available layouts will be used in crossTerm by default.

To be able to assign a crossTerm layout to a user group you must have the right to change the group properties. The right is available in the Groups section of the user group rights.

crossTerm Web Workflows

In the All workflows subsection of the crossTerm Web Workflows section, you can assign the rights for the use of the crossTerm Web suggestion module to the individual user groups.
